*Overview:* As a scheduling coordinator, you will be responsible for coordinating and managing internal shipping and manufacturing schedules and resources across multiple scheduling platforms to ensure smooth operations within the organization.
You will work closely with various departments to optimize scheduling processes and meet operational objectives.
*Responsibilities:*
*Schedule Management:*
* Coordinate and manage schedules for internal shipping and manufacturing
* Utilize multiple scheduling software or tools to efficiently organize appointments and allocate resources.
* Ensure that schedules are synchronized and updated regularly to reflect any changes or modifications.
*Communication:*
* Act as a point of contact for scheduling inquiries and requests.
* Communicate schedule changes, updates, and reminders to all relevant parties.
* Collaborate with team members and department heads to resolve scheduling conflicts and issues.
*Documentation and Record-Keeping:*
* Maintain accurate records of schedules and requested changes.
* Generate reports and analyze scheduling data to identify trends and opportunities for improvement.
* Ensure compliance with organizational policies and procedures regarding scheduling and documentation.
*Customer Service:*
* Provide excellent customer service to internal and external stakeholders regarding scheduling matters.
* Address inquiries and resolve issues in a timely and professional manner.
* Anticipate scheduling needs and proactively seek solutions to meet them.
*Process Improvement:*
* Identify inefficiencies or bottlenecks in scheduling processes and propose solutions for improvement.
* Implement best practices and standard operating procedures to streamline scheduling workflows.
* Continuously monitor and evaluate scheduling performance metrics to drive efficiency and productivity gains.
*Qualifications:*
* Proven experience in scheduling, administrative support, or related role.
* Proficiency in scheduling software, calendar management tools, and Microsoft Office Suite.
* Customer service experience preferred
* Construction industry experience preferred but not required.
* Excellent organizational and time management skills.
* Strong attention to detail and accuracy.
* Effective communication and interpersonal abilities.
* Ability to work well under pressure and adapt to changing priorities.
* Problem-solving skills and a proactive approach to resolving issues.
*Additional Requirements:*
* Flexibility to work outside regular business hours when necessary.
* Willingness to take on additional responsibilities as needed.
