*Position: Administrative Assistant* *Purpose of Position:* *This position is responsible for assisting the Community Manager with the daily operations of Lake Heritage Property Owners Association.
* *Scope:* To ensure the efficient operation of the Lake Heritage Property Owner’s Association’s Office.
*Education, Skills, and Experience:* * At minimum, a High School Diploma or Equivalent * Strong interpersonal and communication skills (written and oral) * Good moral and ethical conduct * Well organized with attention to detail * Obtain a current Driver's License * Office Experience * Ability to work with rules, standards, and legislative matters * Ability to operate standard office equipment (phone, computer, copier) * Knowledge of Microsoft Office, Outlook, Google Drive is essential * Ability to liaise with outside agencies such as Pennsylvania State Police, Gettysburg Fire Department, PA Game Warden, PA Fish and Boat Commission and PA Dog Warden * Capable of passing background checks such as, but not limited to, FBI and Child Abuse * Ability to become familiar with and enforce LHPOA Governing Documents *Preferred Skills and Experience:* * Bookkeeping/Financial Data Entry experience working within a budget * Knowledge of Appfolio Property Management software * Motivated, responsibility, and thoroughness in completion of assigned duties within a designated period.
* Dependability, neatness, accuracy, mental alertness, and responsiveness to direction *Duties and Responsibilities:* 1.
Customer Service – This position is the first point of contact for Association Members, potential members, employees, vendors, contractors etc.
The position serves both internal and external customers.
a.
A working knowledge of All Lake Heritage Property Owners Association’s Governing Documents b.
Answering phone calls and dealing with or directing the call as appropriate.
c.
Assisting walk-ins with a multitude of inquiries, business transactions and requests d.
Disburse membership materials, vehicle & boat stickers, pool passes etc.

Administration - Coordinates or performs various general administrative services including but not limited to: a.
Process, prepare, monitor & maintain all correspondence b.
Maintain accurate and timely filing, record-keeping, and database system c.
Maintain accurate records of corporate documents, legal documents, contracts, and minutes of meetings d.
Keep database of member information up to date and accurate e.
Assist with Meeting of the Association when needed/required f.
Maintain accurate calendar of events and room schedule booking calendars g.
Manage permit applications from LHPOA Members and process resale certificates in accordance with legal time frames h.
Administer violation penalties against Members as directed by the Community Manager i.
Advise the membership of approved important notifications through email “blasts” and text “alerts” through Appfolio j.
Maintain office supplies for LHPOA Staff 3.
Perform other duties as assigned by the Community Manager Job Type: Full-time Pay: $16.
